Our Documented Fleet Service Process
Our process allows the person responsible for the vehicles to review findings and authorize work at each stage.
Consultation & Digital Inspection
We begin with an initial consultation about the vehicle and the reason for service. Our technicians then perform a Digital Vehicle Inspection, which documents relevant conditions with photos.
Urgency-Based Estimate & Approval
We prepare a transparent repair estimate that categorizes recommendations by urgency. This helps the customer distinguish immediate repairs from maintenance that can be scheduled. We don’t perform work without explicit approval.
Repair & Final Quality Review
After authorization, our technicians complete the approved services using manufacturer-quality equipment. We finish with a final quality check and road test.
1. Schedule Your Appointment
Whether scheduling online or over the phone be sure and let us know what you're experiencing so we can provide fast and accurate service advice.
2. Diagnostics and Inspections
Drop off your vehicle and the shop will get to work with inspections and diagnostics using the same equipment as the manufacturers to determine issues and next steps.
3. Digital Vehicle Inspection Report and Estimate
Following the diagnosis we will text you a digital vehicle inspection report, containing pictures and videos of our findings and recommendations.
4. Review and Approval
A service advisor will reach out to walk you through the findings and recommendations to determine how you would like to proceed, or you can approve work directly in your DVI.
5. Work Performed or Scheduled
Most work can be completed immediately, or scheduled based on parts and customer availability.
Plan Maintenance Around Each Vehicle’s Needs
A planned approach helps businesses track routine service based on each vehicle’s mileage, operating demands, and manufacturer service schedule instead of waiting for problems to develop.
Oil service, brake inspections, diagnostics, and other maintenance address different aspects of vehicle operation. Vehicle-specific findings help distinguish immediate repairs from work that can be considered at a future visit.
Make Fleet Decisions with Clear Information
Businesses need usable information before authorizing repairs. Photo documentation and urgency-based recommendations make it easier to evaluate the work and decide how to proceed.
John Norman’s on-site, owner-led accountability supports direct, professional communication for businesses considering an ongoing maintenance and repair relationship with our Aubrey shop.
Commercial Vehicle Inspection Requirements
Vehicle classification determines which state inspection obligations apply. Commercial vehicles must obtain a passing annual safety inspection in every county, while requirements differ for non-commercial vehicles.
In the region that includes Aubrey, gasoline-powered vehicles that are 2 through 24 years old require an annual emissions test at registration renewal. Businesses should confirm how each vehicle is classified before relying on a particular inspection requirement.
Define the Details of Your Fleet Arrangement
An ongoing maintenance arrangement works best when the business identifies who can make decisions for each vehicle and gives the shop an accurate list of the vehicles included.
Before beginning an ongoing arrangement, establish:
- Vehicle roster: Identify the covered vehicles and keep the list current.
- Service authorization: Determine who can approve diagnostics, maintenance, and repairs.
- Appointment coordination: Decide how service for multiple vehicles will be organized around operating needs.
- Billing terms: Clarify invoicing, payment responsibilities, and required documentation before service begins.

Federal Maintenance & Periodic Inspection Obligations
Some heavier commercial vehicles are subject to federal motor carrier regulations in addition to state requirements. Qualifying motor carriers must systematically inspect, repair, and maintain the vehicles under their control. They must also keep maintenance records for each covered vehicle.
A commercial motor vehicle with a gross vehicle weight rating, gross combination weight rating, or actual weight of 10,001 pounds or more must pass a periodic safety inspection at least once every 12 months. The first figure is the manufacturer-assigned maximum loaded weight for a single vehicle; the second applies to a vehicle and attached trailer or other combination.
The federal periodic inspection covers brakes, steering, lighting, suspension, and other components. Businesses operating qualifying vehicles should confirm which regulations apply and maintain the required inspection and service documentation.
